Job Description

The European Foundation Centre (EFC) is a non-profit membership association which promotes and supports the work of foundations that are based in, and active with, Europe. The EFC is an equal opportunities employer with a diverse and international staff that is looking for enthusiastic individuals to join its team in the new Philanthropy House, a state-of-the-art facility in the centre of Brussels opened in November 2013 to promote the work of Europe’s philanthropic sector. At present, the EFC seeks to recruit an efficient and enthusiastic Events Intern to join its Operations Team from January 2016 for 12 months.

Position Summary

The Events Intern is responsible for greeting, welcoming, directing and supporting organisers and delegates of all Philanthropy House events. As member of the EFC, the Intern will also pay close attention to all EFC-related events, including those happening outside of the office space. Reporting directly to the EFC Events Manager, the successful candidate must enjoy detailed administrative work as well as a variety of operational tasks, handling them in a timely and efficient manner. They should be proactive and able to manage good relationships with colleagues, members and guests. Some flexibility with working hours and occasional travel within Europe may be required.

Position Responsibilities

Specific responsibilities include, but are not limited to, the following:

  • Welcoming guests, organisers and delegates to Philanthropy House by greeting them, in person or on the telephone; answering or referring inquiries
  • Keeping the meeting areas tidy, ensuring that deliveries for events are promptly handled

Setting up (and clearing) rooms and commons area for meetings as well as catering functions

  • Preparing any event-related material (badges, lanyards, photocopying reading documents, printing participants lists…)
  • Helping delegates register for EFC events (through our online registrations system)
  • Supporting the Events Team in its daily operations

Candidate Profile – Required skills

  • Very strong and proven customer service skills, in person, over the phone and in writing
  • Excellent English speaker with very good command of French; other EU languages would be beneficial
  • Able to work and keep calm under stress and pressure
  • Self-motivated and proactive, quick, efficient and with very good attention to details
  • Clear communicator that works effectively in teams towards getting things done
  • Extremely well organised with a proven track record of meeting deadlines
  • Creative and resourceful problem-solver with the ability to adapt to changing situations
  • Confident user of Office package
  • Able to perform moderate physical activity (setting up meeting rooms including moving tables and chairs…)

Desired skills

  • Experience in events management or hospitality sector
  • Additional (EU) languages
  • Working knowledge of Microsoft CRM

We Offer

  • A stipend of €750 per month
  • 300€/year travel allowance to return home
  • A language course with a limited cost decided by the EFC (max.125€/year)
  • 12 business days off a year in according with Belgian regulations (on top of Belgian and EU Institutions holidays)

  • Internships are declared to the Belgian taxes. At the end of the internship each intern will receive a work attestation and a holidays attestation
