The Bank for International Settlements (BIS) is an international organisation promoting global monetary and financial stability and is a bank for central banks. The BIS’s head office is located in Basel, Switzerland, with representative offices in Hong Kong SAR and Mexico City. We are looking for an Administrative Secretary to join our Financial Stability Institute (FSI) team. The successful candidate will support the organisation and coordination of FSI outreach events; provide secretarial and administrative assistance for the FSI’s policy implementation work; and support FSI Connect (e-learning tool for financial-sector authorities).

Principal accountabilities:

To support the organisation and coordination of FSI meetings, seminars, conferences and webinars held in Switzerland and abroad (events). This includes working closely with and under the direction of the FSI staff who have overall responsibility for individual events; handling all logistical and administrative aspects of the events; communicating with speakers, participants, co-organisers and other internal and external parties involved in the organisation of an event; keeping the Chair and Deputy Chair of the FSI updated on the organisational status of events; actively contributing to the design, planning and development of the annual FSI programme of activities.

To carry out secretarial and administrative tasks related to the FSI’s policy implementation work. This includes assisting the FSI staff responsible for individual projects with surveys; coordinating visits and interviews related to FSI Fellows; ensuring that all documents follow BIS formatting standards; and coordinating internal review and publication processes.

To support the FSI Connect project. This includes providing the full range of administrative support for FSI Connect subscribers and content development process; and identifying potential enhancements to the FSI Connect learning management system and the subscription management system and supporting their implementation.

To support the work of the FSI and of the Chair or Deputy Chair of the FSI as they may require.

Skills, qualifications and experience:

  • Secondary education, secretarial diploma or equivalent;
  • In-depth knowledge of MS software;
  • Experience in event preparation. Experience dealing with individuals from a wide range of countries and providing assistance on a variety of matters would be an advantage;
  • Proactive, dynamic, innovative, and strong team player;
  • Excellent organisational and communication skills with a strong sense of customer support and diplomacy;
  • Ability to work accurately, independently and to cope under pressure;
  • Fluent English. Additional languages would be an advantage.
